Procedure for Sending an Email with Read-Receipt in Outlook

Since the vast majority of Read-Receipt attempts fail, it is futile to attempt to use the feature. In most cases, either the recipient will be asked if they want to provide a Read-Receipt or the mail system will ignore the request or the recipient has configured her account to refuse such requests.

Getting A Read-Receipt in Outlook on an iPhone

Try composing an email message, with the Read-Receipt feature set on. If you are very lucky the recipient will comply when they get the pop-up. Most will deny or have their email client set to always deny Read-Receipts. This is because spammers have misused this feature.

Working of Read-Receipts in Outlook

A person sends a message with a receipt request.

The message arrives in the recipient’s inbox.

The recipient reads the message.

Outlook sees that the sender requested a receipt.

If Outlook’s tracking option is set to “Always send a receipt”, then Outlook sends a receipt to the sender. If the tracking option is set to “Never send a receipt”, then the request for a receipt is ignored. If the on-tracking option is set to “Ask each time whether to send a Read-Receipt”, then Outlook prompts the recipient to ask if they want to honour the request for a Read-Receipt. They then have the choice to send one or not send one.

On receiving a Read-Receipt, the sender’s email system updates the original message showing the date and time the recipient read the message.

Way To Tell If an Email Has Been Read in Outlook Without a Read-Receipt

You cannot tell with certainty whether an email has been read or not. There are two ways to attempt to determine if an email was read: Read-Receipts, and tracking pixels. The former is unreliable because each recipient can disable the sending of Read-Receipts. Tracking pixels (i.e., images stored on a web server, the download of which is recorded in the server log when a message is read) are unreliable because recipients can disable downloading eternal images. Conclusion

In conclusion, Outlook have Read-Receipts and you can put them, but the email program Outlook has to allow it as an option, which can be set by going to the File, Option and Tracking ribbons. The “Read-Receipt” only comes back to you if the recipient clicks to send it. It will say that sender is requesting a “Read-Receipt”, and if you wish to send it.

Can “Read-Receipts” on email be wrong? If so, what would cause that?

Yes. Errors like this can occur if there is a deliberate delay in transferring the data on the sending or receiving servers or even intermediate servers. It is very rare. If it happens a lot for you then maybe someone has installed a program that sends out fake Read-Receipts.

What does “send Read-Receipts” mean?

It is a function in e-mails that alerts you when the recipients have opened the mail. It tells you if the people you sent it to read it.
